Subletting. Subletting of your trade space is not allowed under any circumstance. All companies must disclose who is attending the show as part of their stand.
Vehicle insurance. Insurance for vehicles on site is the responsibility of the owner, not the event organisers or venue. We have security attending and do what we can to maintain the safety and security of the event, however anything left at the venue is ultimately at the owner's risk.
Vehicles on stands. All vehicles on stands must be kept in place from the times set until trading ceases, unless otherwise organised. Written notice will be given and a marshal will be on hand to escort you off site. Any pre-planned vehicle movement must be done with a marshal escorting you around the site, with hazard lights on at all times.
Risk assessments. Traders must supply risk assessments before the show, explaining and outlining their activities to control potential hazards and risks. By submitting this form, you agree to supply this in advance of the event.
Insurance. Traders must supply their own insurance. By submitting this form, the trader confirms that they hold the necessary insurance cover and agrees to indemnify the event organisers and their staff against any and all claims which may arise.
Equipment. Traders are required to supply all of their own equipment unless organised in advance with the event management. All electrical appliances must be PAT tested, including extension leads. No additional lights or extensions from the existing electric light fittings shall be used without consent. The venue's technical officer has the right to deem any equipment unsafe and therefore not to be used.
The venue. Please respect the venue and take note of the stewards and marshals around site. Traders will be shown their space by a marshal on arrival; your space will be marked out in advance. At the end of the hiring, the exhibitor shall vacate the premises and leave them in a clean and orderly state, removing all rubbish. Skips will be provided on site. Failure to leave your area as you found it will incur a £50 cleaning charge. The exhibitor shall be responsible to Wheels Up North LTD for all damage done to the venue on their pitch during the period of letting, and shall pay Wheels Up North LTD, on demand, the cost incurred in making good such damage.
Event cancellation. Cancellation of the event due to any unpredictable events beyond its control means the exhibitor shall not have any claim for damages of any kind against Wheels Up North LTD in respect of any loss or damage consequential upon the prevention, cancellation or postponement of the event.
Health and safety. Wheels Up North LTD operates a Health and Safety policy in accordance with the Health and Safety at Work Act 1974 and exhibitors MUST comply with this policy in all areas of operation, especially on and around the stage area. First aid facilities are available at the venue, however we request that all exhibitors carry their own basic first aid kit.
Liability. Wheels Up North LTD shall not be responsible for any loss of, or damage to, any property arising out of the event, for any loss, damages or injury which may be incurred by, or be done or happen to, any person or persons resorting to the premises during the event from any cause whatsoever, or for any loss due to any breakdown of machinery, failure of supply of electricity, leakage of water, fire, government restriction or act of God which may cause the premises to be temporarily closed or the event to be interrupted or cancelled. The hirer shall indemnify Wheels Up North LTD against any claim which may arise out of the hiring, which may be made by any person resorting to the premises during the hiring in respect of any such loss, damage or injury.
Cancellations. Cancellations must be made in writing to the Event Manager. If you cancel more than 30 days before the event, any payment you have made will be refunded, except a deposit, which is non-refundable. If you cancel within 30 days of the event, or do not attend, the full stand fee remains payable and no refund will be given.
Payment. Stands can be paid for upfront, or a non-refundable deposit placed to confirm your space.
General. Wheels Up North LTD reserves the right to exclude any person. The exhibitor shall not permit anything to take place in the premises which is unlawful or, in the opinion of Wheels Up North LTD, of an objectionable character.
